What we hear most often

If three or more of these are familiar, the problem is usually one system short rather than one spreadsheet short.

  • Patient files are on paper, so finding a history means finding a folder.
  • Appointment no-shows are high and nobody is reminding patients.
  • Billing, insurance and NHIF claims are reconciled by hand and often late.
  • Several branches, no shared view of a patient who visits more than one.
  • Patient data on shared machines with shared passwords, which is a breach waiting to be reported.

Healthcare software has to be careful in ways most business software does not, and it has to be fast, because the person waiting is a patient.

Privacy by design, not by policy

Patient data is special-category data under the Kenya Data Protection Act 2019. That means access control per role rather than per practice, an audit trail on every record view, encryption at rest and in transit, and a retention schedule that is actually enforced by the system. These are design decisions, taken before the first table exists.

The boring wins first

Before anything clever: a patient record that is findable in seconds, an appointment reminder by SMS or WhatsApp, and a claims process that does not depend on one person's spreadsheet. Those three typically pay for a system on their own, through fewer no-shows and faster reimbursement.

Working offline

Connectivity is not guaranteed in every facility. Where that is true, we build for it: the system keeps working on local data and syncs when the link returns, rather than stopping the clinic because the internet did.
